Are there any additional fees if I do not return my bike correctly upon exchange or refund?We have additional fees if a customer breaches the rules of returning their bike. These are very easily avoided, but we have to have them in place to maintain our fleet and continue to provide the low-cost rental & sale service that we currently provide. Returning & Locking Up Your Bike If the bicycle is not correctly locked up, you may be charged £15. We require (on standard racks where the bike is lent sideways on the rack) the rear wheel and frame to be secured using the D-lock, and for the D-lock to go around the main section of the rack. If your bike lock came with a wire, you must use the wire to contain the front wheel. You can do so by looping the wire around itself, and then using the other end to lock to the D-lock. There are images available when completing the bike return form. If you are using a depot where the front wheel is inserted into the rack, then you must lock the D-lock around the front wheel, and the rack. If your bike came with a wire, use the wire to secure the frame and back wheel. Drop Off Location If your bike is dropped off at the incorrect location, whether that is the wrong depot, or not in an depot at all, then you can be charged up to £25. If your bike is returned late, you will be charged £5 per day that it is late, until the 7-day mark where we will mark the bike as stolen and charge the full deposit. No Images On Bike Return Form If there are no images submitted on the bike return form, we can charge up to £25.

How does buying from OxBykes work?OxBykes operates its own fleet of bicycles which are available for rental and sale in Oxford and Cambridge. These bicycles are available for collection instantly after purchase, 24/7 from any one of our depots (where the bikes are locked up with 4-digit combination D-locks). Simply go online, pay the full cost of the bicycle, instantly receive the 4-digit combination lock code and the detailed instructions on accessing the depot, and then collect the bike when suits you. Each bicycle comes with the theft resistant D-lock. You can also choose which date you decide to pick up your bicycle. Some bikes are available instantly, others at some point in the future. You will receive an email on the date to collect, or if your bike is available early you will also receive an email. To access the collection information, got your account, then go to "my purchased bikes".

How do I collect my bicycle?To collect your bike, you will be given the lock code which will unlock your bike. When you get to the collection location, sign into your “My Purchased Bikes” page, and click “Get My Lock Code”. This will ask you to submit a photo of your bike. Upon submitting the photo, you’ll instantly get given your lock code. Please do not submit a photo of anything other than your bike. This process is in place to prevent customers from saying the bicycle is missing, and stealing the bike whilst getting a refund.

Should I buy or rent?We buy bicycles back from users, so sometimes it can be cheaper to buy, take advantage of our 30-day warranty and then sell back to us. However, we cannot guarantee a price when you purchase the bicycle. Renting is for those shorter term users, and those that don't want to deal with bicycle maintenance because users can take advantage of the free maintenance throughout the rental by booking slots with our mechanics, or users can use the bike swap function at any time during their rental. In short: rent if you want a hassle free experience, buy if you want to save some money and you are going to be riding for longer periods of time.

Can I return the bike if I damage it during my 30 day warranty?IF THE BICYCLE HAS ANY DAMAGE UPON COLLECTION, THERE ARE NO FEES PAYABLE AND YOU CAN EXCHANGE OR REFUND YOUR BICYCLE IMMEDIATELY. PLEASE DO SO UNDER YOUR ACCOUNT: "MY PURCHASED BIKES" AS SOON AS POSSIBLE. If you materially damage the bicycle during your warranty period (i.e., the bike was in good condition upon collection, but then during the 30-day warranty period you rode the bike and damaged it yourself), you can return the bicycle however you may not get the full price back. We have the right to keep up to £125, or the total price of the bike (e.g. if you only paid £90, we can only keep up to £90, and are not permitted to take more), depending on the extent to which the bicycle has been damaged. The below list shows what is covered in the warranty (i.e. will be repaired free of charge), and what is not. The items that are not covered require actual bike damage, whereas items that are covered are the result of wear-and-tear of the bicycle. Therefore, if riding normally and safely, you will unlikely need any repairs that are not covered. Return & Warranty PolicyWe want buying a bicycle to be as risk and hassle-free for our customers. Therefore, we have a credit system. This means if you do not like the bicycle, you can exchange the price of the bicycle for OxBykes credits which can then be redeemed against any OxBykes owned bicycle on our site. Simply visit 'My Purchased Bikes' under your account page to initiate this process. You can also transfer credits back into cash on your account page under 'My Credits' if you cannot find an alternative bicycle. You have 30 days to exchange your bicycle or return it. If you decide to return the bike and want a full refund without exchanging bikes, you will be charged standard or premium bicycle rental fees per day for the days that you used the bike as an equivalent rental fee. Your first day is free, so that you have time to decide if there is an issue with the bike or that it's not the perfect bike for you. If you believe your circumstances mean that you should not pay any rental fee, please contact support who will be delighted to assist. If you are dead set on the bicycle you have, but think that it could do with a slot with our mechanic, simply use the live chat function, or book a free appointment session online. We will then send you a private link to book a free slot with our mechanic, who will help you get back onto the road. All bicycle maintenance and repair under the warranty scheme will occur at OxBykes' Wolfson depot in Oxford. Cambridge will be at Girton. For exchanges, warranty, and returns, the 30-day warranty starts on the date of purchase. The date of purchase is DAY 1.

Do I have to buy the D-lock?No. If you do not want to pay for the D-lock (£25) you need to buy the bike in full, including the £25 for the lock, and then book an appointment with us to drop the lock off on https://support.bykeltd.co.uk/ - once you have dropped the lock at an appointment then the £25 can be refunded. You can only return the lock to us within the 30-day warranty period, where the purchase date is day 1. Once dropped off, will then refund the D-lock price to the card you used at checkout. If you pick up the bike and leave the D-lock at the depot, you will not get a refund for your £25. If you leave the lock behind, your 30-day warranty, exchange or return & refund options will be void, as you will have no means of returning it (i.e. locking it up). We therefore recommend you hold onto your lock until you are happy with your bicycle for certain, or your 30-day warranty is up. You must return the D-lock to us by booking in an appointment with us through https://support.bykeltd.co.uk/ at our workshop at the Wolfson depot within the 30-day warranty.

Are there any additional fees when renting a bike?We only charge additional fees if a renter breaches the rental rules. These fees are easily avoidable, but they help us maintain our fleet and continue providing affordable rentals. Returning & Locking Up Your Bike If the bike is not correctly locked, a £15 fee may apply. For standard racks (where the bike leans sideways), you must secure the rear wheel and frame using the D-lock, looping it around the main section of the rack. If your bike came with a wire, use it to secure the front wheel by looping it around itself and locking it to the D-lock. Images are available when completing the bike return form. For front-wheel-insert racks, you must lock the D-lock around the front wheel and rack. If your bike came with a wire, use it to secure the frame and back wheel. Drop-Off Location If you return your bike to the wrong depot or fail to return it to a depot at all, you may be charged up to £25. Late Return A £5 per day late fee applies. If the bike is more than 7 days late, it will be marked as stolen, and we will charge the full deposit (equal to the sale price of the bike). You can request the sale price of your rental bike before renting by contacting customer service at Byke Support. As a general guide, standard bikes range from £80 to £160, while premium bikes can be up to £250. However, these are estimates and may vary. No Images on Bike Return Form If no images are submitted on the return form, a £25 fee may apply.

Can I cancel my rental for a refund?We offer full refunds for cancellations made at least 30 days before the rental start date. 30 to 8 days before the start date – You can receive a 50% refund, as the bike has already been reserved for you. Within 7 days of the start date – No refunds are available. If your bike is too small, too large, or not the right fit, you can use our swap feature to choose a different bike from our fleet across the city. If you believe your bike is unrideable and there are no suitable swap options, we may offer a full refund where appropriate. However, you must contact our customer service team first to discuss the issue.

How do I find my perfect bicycle?The best way to find the right bicycle is by using the filters on the rental page. If the bike you choose isn’t the right fit, you can swap it at any time during your rental. To swap, go to "My Rental Bikes" in your account and click "Swap" next to your current bike. How to collect my rental bike?Once you've booked a rental bike online, you can collect it from the depot location listed in your booking. When you arrive, open your 'My Rental Bikes' page and click 'Get Lock Code.' You will be prompted to submit a photo of your bike. Once the photo is submitted, your bike’s lock code will instantly appear. Please ensure you submit a clear photo of your rental bike only. This step helps verify the bike's status and prevent misuse of the rental system.

Can I extend my rental?Yes! To extend your rental, simply send us a message, and our team will assist you. If you keep the same bike, there is no buffer period, and you can continue using it without interruption. However, if you return the bike and book a new rental, a 1-day buffer period applies to account for late returns or maintenance.

Do you take a deposit?We may place a hold on your card for up to the cost of the bike and D-lock during your rental. This hold is to cover the event of the bike not being returned or being damaged (only the amount required to repair the bike will be deducted in such cases). Please note, this is not an actual charge—it’s just a block on your account. As long as the bike is returned on or before the rental’s last day, there will be no charge. However, we may hold the amount if there is suspicious activity, such as incorrect university affiliation details for student rentals. What happens if there is an issue with the bicycle? What if I damage it?All our bicycles are in good condition and unlikely to have issues. However, we understand that renters may sometimes experience difficulties, such as a flat tire or the wrong bike size. To address this, we offer a swap feature, allowing you to exchange your bike for another during your rental if it’s too small, uncomfortable, or has a mechanical issue. If you cause damage to the bike beyond normal wear and tear, you may be charged up to £125, depending on the extent of the damage. How do I return my rental bike?Please return the bike to the same depot where it was collected and ensure it is properly locked. Then, follow the ‘Ending Your Rental’ instructions in your OxBykes account to complete the process and avoid additional charges. You must also complete the bicycle return form by clicking the ‘Return My Bike’ button next to the bike photo under "My Rental Bikes" in your account. Failure to do so may result in fees.

What are OxBykes depots?OxBykes operates a network of depots in Oxford and Cambridge, consisting of both university-owned and public depots. These depots house a fleet of bicycles secured with combination D-locks. University depots: Accessible only to university members or affiliates Public depots: Open to everyone OxBykes depots are used for collecting rental bicycles and OxBykes-owned purchased bicycles. Renters and buyers can pick up their bikes instantly after purchase but should be aware that some depots have operating hours while others are accessible 24/7.

What hours are OxBykes depots open?Most depots are open 24/7, but some have restricted hours. Be sure to check the opening hours before visiting a depot. Depots with restricted hours: OURFC: Generally open 06:30 – 22:30 on weekdays and 07:30 – 19:30 on weekends. Please check their website for any updates. Botanic Garden: Open 09:00 – 19:00. Magdalen College: Gate access from 07:00 – 23:00.

Do OxBykes Sell E-Bikes?To support our goal of creating a sustainable circular economy for bicycles in Oxford, we retrofit second-hand bikes into e-bikes. We do this in partnership with Boost, a company that provides our mechanics with the necessary conversion kits. Additionally, we sell second-hand, refurbished electric bicycles.

How long does it take to get my e-bike after purchase?When you purchase an OxBykes-owned bicycle, we will collect it from the depot and begin the retrofit process. If you'd like to ensure the bike is the right size before we start the retrofit, you can visit the depot to try it out. Once you're confident about the size, simply complete the online form to begin the process. The retrofit will take up to 14 days from the date the form is submitted.

Can you retrofit my existing bicycle?The chances are, yes we can! Please make sure you fill in the form online and we can get in contact about next steps. From the date of drop-off, it will take up to 14 days to complete the retrofit.

How much does it cost?We have a price guarantee that if you buy an e-bike retrofit from OxBikes, it will cost you only £675 for a bicycle of value £150 or less. For a bicycle priced more than £150, we will just add the amount over £150 to the final price. If you want to bring your bike in to get it fitted as an e-bike, the cost of kit + fitting is £625.

What is an e-bike?An e-bike is a ‘normal’ bike, just with a motor added to help you up hills and keep going on the flat without lots of sweat. You can buy an e-bike from a manufacturer or with a Boost kit, you can turn many bikes into a great e-bike. The Boost system is rear wheel motor powered for a smooth, safe riding experience. Front wheel drive systems add weight to the front wheel and can feel uncomfortable in slippery conditions or in corners, compared with rear-motor bikes. The UK and EU have specific regulations to determine whether a two wheeled bike is an e-bike or an electric motorbike (which would require registration and insurance). The Boost system is fully UK legal as an EAPC (Electrically Assisted Pedal Cycle). When buying other systems, make sure to ask if the kit is legal. If the kit features any kind of thumb throttle or exceeds 15.5mph, it is probably illegal and you could be fined or have points on your driving licence.

How do I buy an E-Bike?To purchase an e-bike, start by selecting and buying one of our bikes online. After your purchase, we will send you details on how to collect your bike. Most of our e-bikes are available for collection at our secure depots, located at OURFC or Wolfson College.

Can all credits be turned into cash?Not all credits can be turned into cash. If credits are generated from the refund of a bike, the customer has the option to turn them back into cash at the exchange rate of £0.01 per credit. Credits otherwise can be used on the website to pay for both a rental or to buy a bike. Sometimes Byke gives out credits for free as part of a promotion, or other reasons. These credits are non cash exchangeable unless clearly stated, and can only be redeemed by renting or purchasing a bicycle.

Is Byke a registered company in the UK?Yes, Byke Ltd is registered on Companies House, with company number 13861175.

Is there VAT on rentals?Yes. Byke is now a VAT registered company with VAT registration number GB451665682. Byke charges 20% VAT on all bicycle rentals, which are included in the price of your rental. If you require a VAT receipt, please contact us through our customer service channel.

Is there VAT when I buy a bike from Byke?Yes, however it is not reclaimable. Byke uses the VAT second-hand goods margin scheme, which means Byke records the margin between the price that the bike was bought (excluding any transport, parts or labour) and subtracts that from the sale price of the bike, and then pays 1/6th of the difference as VAT. There is also VAT on the sale of the lock, which is at 20% standard rate. So if you would like to get a VAT receipt from Byke, you will only get one for the lock, not the bike itself.
